Staff Accountant

Status: Permanent – Full Time

Classification: Non-Exempt

Reports to: Chief Financial Officer & VP of Finance

Supervises: None

Salary Range: $50,000 – $65,000

Work Mode: In-Office

Job Purpose

The Staff Accountant provides hands-on support in nonprofit foundation accounting operations, ensuring the timely and accurate processing of financial transactions in accordance with established internal controls. This entry-level role offers exposure to core accounting functions, including payroll, accounts payable, and general accounting, while also supporting the Foundation’s impact investing activities. This position requires strong attention to detail, organization, and the ability to manage multiple financial processes while maintaining compliance with applicable regulations and internal policies. The Staff Accountant works closely with the Controller and finance team to fulfill responsibilities and develop foundational accounting skills.

Primary Responsibilities

General Accounting

• Assist with daily accounting activities, including journal entries and general ledger updates
• Maintain accurate financial records and supporting documentation
• Support month-end and year-end close processes, including reconciliations and reporting
• Reconcile credit cards and balance sheet accounts
• Identify and resolve discrepancies in financial data
• Maintain and update donor tracking records
• Reconcile general ledger accounts to supporting systems
• Assist with monitoring and reporting of impact investments
• Provide support during the annual audit process

Payroll Responsibilities

• Process semi-monthly payroll, ensuring accuracy of compensation and deductions
• Maintain payroll records, including new hires, terminations, and pay changes
• Ensure accurate calculation and withholding of taxes and deductions
• Support compliance with wage and hour laws and payroll tax regulations
• Ensure timely remittance of payroll taxes and related liabilities
• Reconcile payroll reports to the general ledger and resolve discrepancies
• Support year-end payroll activities, including W-2 preparation
• Respond to employee payroll inquiries
• Ensure proper classification of employees versus independent contractors
• Coordinate with HR on employee data and compensation updates
• Support audits by providing payroll documentation
• Continuously improve payroll processes and systems (e.g., expense tools like Expensify)
• Maintain strict confidentiality of employee information

Accounts Payable Responsibilities

• Process vendor invoices, ensuring proper coding, approvals, and documentation
• Manage payment cycles, including checks, ACH, and reimbursements
• Maintain vendor records, including W-9s and payment terms
• Ensure compliance with internal controls and organizational policies
• Reconcile A/P subledger to the general ledger
• Prepare and file Forms 1099 and support year-end reporting
• Communicate with vendors and resolve payment issues

Credit Card & Expense Management

• Reconcile credit card statements with receipts and expense reports
• Review transactions for accuracy and proper coding
• Follow up on missing documentation or discrepancies
• Ensure compliance with expense policies

Other Duties

• Assist with organizational surveys and reporting
• Participate in special projects and process improvement initiatives
• Perform other duties as assigned

Qualifications & Experience

• Formal accounting training preferred; relevant experience in accounts payable, payroll, or general accounting may be considered in lieu of formal education
• One year of professional experience preferred, but not required
• Basic understanding of accounting principles
• Strong attention to detail and organizational skills
• Proficiency in Microsoft Excel and Microsoft Office applications
• Ability to maintain confidentiality with sensitive information
• Strong written and verbal communication skills
• Ability to work both independently and collaboratively

Work Schedule

• Full-time, in-office position
• Standard business hours

Compensation

• Salaried position with compensation commensurate with experience, including a robust benefits package and professional development opportunities. Initial salary range is $50,000 – $65,000.

Physical Requirements

• Prolonged periods of sitting and computer use
• Ability to lift up to 15 pounds occasionally
